EXECUTIVE ADMINISTRATOR
POSITION TYPE: CONTRACTOR
CONTRACTOR OPPORTUNITY SUMMARY:
The JCF Hospital Foundation is seeking a contractor to execute a variety of time-limited and ongoing projects in support of the Foundation’s mission. The contractor will function as the Foundation’s “Executive Administrator” (EA) supporting and implementing the activities of the Foundation in coordination with leadership to advance the goals of the Foundation, JCF Healthcare District (District), and community health. The EA manages day-to-day operations, executes fundraising initiatives, and assists with strategic planning while promoting the mission, vision, and values of the Foundation. This position is not a full time employee, but a 1099 contractor. This is a remote position, but will require a substantial “on-the-ground” presence.
MAJOR FUNCTIONS:
Administrative Coordination:
Advances the Foundation's mission, vision, and values to internal and external partners and the general public
Coordinates operations and facilitates the effective use of human/financial resources of the Foundation
Prioritizes and executes multiple projects to achieve objectives
Coordinates and supports volunteer activities
Collaborates with the Foundation's partner teams and boards, particularly with the District's Capital Campaign Fundraiser staff
Maintains and organizes the Foundation's documents, including its shared Google drive
Donor/Partner Relations & Fundraising:
Administers the Foundation's donor database
Processes and coordinates gift acknowledgments
Collaborates with the Foundation Board and District staff to document equipment needs for donor consideration
Supports fundraising targets and timeline achievement
Grant Writing: prepares and submits grant applications
Builds and maintains positive relationships with donors and Foundation partners
Coordinates fundraising initiatives including, but not limited to, direct mail, campaigns, special events, and planned giving
Partners with the Foundation's Events Committee on the annual Black and White Ball and other fundraising events
Strategy, Planning, and Execution:
Implements and tracks strategic plan progress, preparing regular reports including annual report
Works with Board committees on annual budget, communications, and marketing plans
Serves as a main point of contact for the community for media and communications
Coordinates with the District on fundraising priorities and calendar alignment
Communications:
Implements communications, marketing, and media plans
Represents the organization professionally, delivering strategic messages
Drafts Foundation correspondence
Creates and shares social media posts, writes and submits press releases, and in all ways maintains social media presence and media relations
Board Relations:
Provides comprehensive information to the Board for informed decision-making
Supports Board meetings through email communication and document creation/organization such as board agendas and minutes
Financial Management:
Maintains donation stewardship protocols
Entering data into Quickbooks as part of operational support
Supports annual operating budget implementation
Prepares comprehensive financial reports for board meetings using Quickbooks
Ensures compliance with regulatory and reporting requirements
Coordinates with the Giving Committee on grant requests

EDUCATION AND EXPERIENCE
The Foundation seeks a highly experienced administrative professional with fundraising experience. The ideal candidate will have experience supporting fundraising initiatives and campaigns. Strong writing and communication skills are essential, and writing samples and proof of fundraising success will be required.
REQUIREMENTS
The EA will need to have the ability to work independently, remotely, and be self directed. The Foundation does not have a physical office, but meetings at the District and/or other locations will be required from time to time. Ideally, the EA will live in or near Mariposa County and have a flexible schedule that will enable them to support the Foundation during events that may occur at a variety of times.
COMPENSATION
The successful contractor will be compensated at $2,500 per month. Contractors are expected to dedicate 80 +/- hours per month in support of the Foundation. The work is project based and contractors will have extensive flexibility in executing work projects.
